POSITION SUMMARY
The Executive Assistant for the President’s Department provides support to ensure smooth, efficient, and organized operations within the department. This role involves handling a wide variety of administrative and clerical tasks, such as calendaring, preparing documents, coordinating meetings, answering and directing phone calls, and responding to emails. The ideal candidate will be detail-oriented, highly organized, and able to work independently, Excellent communication and multitasking skills are crucial. The Executive Assistant will often serve as the person between administrations, board members, staff, pastors and the church members. This position will also assist in major events, supporting special projects, and handling confidential information with discretion.
ESSENTIAL JOB FUNCTIONS
* Manage schedules, coordinate appointments and arrange meetings
* Prepare and edit documents
* Handle incoming calls, emails, correspondence, and in person guest
* Order and maintain office supplies
* Coordinate and prepare the monthly worship and prayer calendar
* Assist in planning events and coordinating logistics (e.g. Elders Summit, Pastors’ Appreciation, Service Meetings)
* Manage all tent rentals for Campmeeting
* Oversea the registration tent at Campmeeting
*Responsible for collecting KPI’s from all Pastors annually
*Create monthly worship calendar
*Provide general support to team members and management as needed
*Supporting VP for Mission Development
WORKING CONDITIONS
Travel Requirements:
The role requires approximately 10–20% to support events across the Conference.
Physical Requirements:
* Ability to sit, stand, and walk for extended periods.
* Ability to lift and carry up to 20 pounds occasionally (files, boxes, office supplies)
* Ability to use standard office equipment, including computers, printers, and telephones
* Ability to communicate effectively in person, by phone, and electronically
* Ability to attend meetings, events, and occasional off-site functions as required
SKILLS & EDUCATION QUALIFICATIONS REQUIRED
* Strong administrative, organizational, and time-management skills
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
* Excellent written and verbal communication skills
* Ability to manage multiple priorities with professionalism and strict confidentiality
* Experience coordinating calendars, meetings, travel, and executive support activities
* Ability to work independently and collaboratively in a fast-paced environment
* Bachelor’s degree or an equivalent combination of education and experience preferred with a preference for five or more years of administrative, executive assistant, or clerical experience.
