Position Title: Administrative Assistant
Department: Youth Department
Immediate Supervisor: Youth Director
Job Summary
Supports the Youth Department efforts of the Southern New England Conference by providing administrative support to the Youth Director and Associate Youth Director. The secretary will provide this support at select youth events, good office administration, and professional/caring contact with constituents.
Duties and Responsibilities

Attending departmental meetings to discuss tasks and future projects.

Create and maintain minutes for staff and volunteer meetings.
-
Maintain and organize records for past and future events.
-
Facilitate excellent communication through prompt responses to phone calls and emails.
-
Respond to all inquiries regarding the department’s plans and activities.
-
Collaborate with volunteer staff through communication and service.
-
Coordinate off-site meetings/events by securing location, supplies, food, transportation, and housing for guests and volunteers.
-
Assist in maintaining updated records of the departmental programming budget, including individual ministries, regarding income, expenses, and store sales.

Assist in the development of the yearly programming budget.
-
Assist in remitting cash and checks to the treasury department and monthly digital income reports if needed.
-
Assist in developing advertisements for events and ensure multiple viewing opportunities to constituents and churches when needed.

Purchase needed departmental materials.
-
Create and process event and club registrations and refunds.
-
Assist in managing department websites with updated content, templates, and subscriptions.
-
Coordinate with the media team to update content, templates, and social media accounts.
-
Additional duties assigned as needed.
Essential Functions
-
Work as the Administrator’s Assistant to the Youth Department and assist as needed.

Full-time and Part-time Admin Assistants are assigned areas of focus according to the Youth Director (e.g., Pathfinders, Adventurers, Summer Camp).

Provide information to continuously improve the Youth Department website and social media account.

Assist in developing advertisements for the Youth Department when necessary.

Assist in maintaining updated records of the departmental programing budget, including individual ministries, regarding income, expenses, and store sales.

Available to work extra hours on projects when needed for meetings and events (evenings/weekends).

Alternating schedules and assisting the front desk.
Qualifications
-
Bachelor's degree in an area of benefit to the department and/or five years of experience in office work preferred.
-
Demonstrate a willingness to work cooperatively with the Youth Director, SNEC Administration, and SNEC Departments, and support the mission and objectives of the Southern New England Conference.
-
Bilingual ability is desired.
-
Possess strong positive interpersonal skills (collaboration, conflict resolution) and demonstrate the ability to be a team player and work in a team environment.
-
Professionalism in work duties, work hours, attitude, and guest relations.
-
Task-oriented, intuitive, and organizational skills required.
-
Demonstrate strong computer skills with the ability to communicate effectively using email, writing letters, descriptions, and blurbs, and communicating regularly with target audiences.

Demonstrate administrative and financial management skills with efficiency in Microsoft Office, Google Drive, and WordPress.
-
Must have a valid driver's license and maintain a solid driving record.

Be able to pass CORI, SORI, and Sterling Volunteer background checks.
Working Conditions
Essential tasks are performed under normal office conditions with little/no noticeable discomfort. The work area is well-lit and ventilated. Travel is required. Weekend appointments are required on an as-needed basis.

Spanish Teacher Position - South Lancaster Academy
SLA is seeking a qualified individual as a Spanish Teacher for the 2023-24 school year. The
position is a part-time position and the requirements for the position are as follows:
